The rule
“The FSE and the property owner shall be required to maintain on the FSE premises copies of all documentation required in this chapter for no less than three years,” and shall “make the documentation readily available for inspection at any time to the Director, any inspector and/or enforcement officer and the public.” Separately, the inspection section lets the city review “the manifests, receipts and invoices relating to the cleaning, maintenance and inspection” of your devices during business hours.
What goes in the file (the chapter’s list)
- A log of interceptor and grease control device cleaning and maintenance
- A log of kitchen best management practices, including employee training — training records are themselves a three-year item
- Hauling records and manifests for interceptor contents and for waste cooking oil
- Records of solids accumulation — the percent-full readings that prove the 25% rule
- Any sampling data
- Records of any spills, and of any cleaning of your lateral or the public sewer
The practical version
One binder or one folder in the office: our receipts (which carry the six required lines plus the percent-full reading), a one-page cleaning log we fill in with you, a one-page BMP sheet with staff initials and dates, and your oil-recycling pickup tickets. Thirty seconds per service. The property owner has the same obligation as the operator, which is a conversation worth having with your landlord before an inspection makes it one.
